November 2nd, 2023
This is a 2-4 hour activity that would be held on November 2nd in the afternoon, so the day before the event.
It is an incredible ice-breaker and networking opportunity for all participants and consists of a hosted scavenger hunt throughout Barcelona’s coolest downtown districts.
Participants will be assigned to teams of up to 10 members and will be sent on a high-tech urban adventure where they need to discover clues, face challenges, do funny activities, take creative photos and videos that will get everyone involved; all in groups up to the final destination – which may well be for example, the VRWS venue.
It will be lots of fun and an external company specialised in this kind of activity will be taking care of all this, so the result would be guaranteed and the involvement from our respective companies on the organisational part would be kept to the minimum.
We could even optionally have a prize or award for the winners and if we can allocate a 5-10 minute slot to the on stage agenda, winners could be announced on stage, a quick short teaser and hilarious video of the activity could be displayed on screen and everything would carry your Company name on it.
Pros:
- The activity will be communicated weeks/months ahead of the event, during the event and long after it, building awareness and excitement around it and giving lots of visibility and credit to the Partner Company that will back it up.
- The number of communications that will be done via social and via mailing will be higher than that of the Chiringuito Party below and will span over a longer timeframe.
- It will also be curated with a short video recalling the best moments and how cool the activity was, and the video will be aired online after the event and will be visible and accessible on the VRWS website for a year, with a constant recall to the Partner Company as the one that made all this epic experience possible.

We could have this event taking place either around 20:00 o’clock or from around 22:00-22:30 o’clock; in this second case, other possible dinners organised would not be compromised and at the same time all attendees would have a reason to join us for an after dinner party.

- Potential to gather the (majority) VRWS attendees already in Barcelona.
- Possible lower investment than the VRWS Scavenger hunt.

On the first night of VRWS, i.e. on Nov. 3rd, we would be looking for either a great bar with a stunning view over Barcelona or a Chiringuito on the beach to sip a cocktail or a drink offered by the company sponsoring the beach party. We would be printing up to 500 co-branded cards/invitations/drink vouchers that would be placed on the round tables at VRWS venue in the first morning and during VRWS opening on stage, we would be announcing the party and give credit to the Partner company that will make the event possible. So we would gather the majority if not all of VRWS attendees in one place to further network after the event in the first evening. We could have this event taking place either around 19:00 o’clock or from around 22:00-22:30 o’clock; in this second case, other possible dinners organised would not be compromised and at the same time all attendees would have a reason to join us on the beach for an after dinner party.

- On-site reach. No particular issue in organising it.
- Potential to gather the vast majority of VRWS attendees.

ROUNDTABLES are 50 minute Help & Support Networking Sessions, facilitated by one Professional following a check-list format provided by us.
As Facilitator you will gain access to up to 10 Attendees per Session/per Table, so while helping them out addressing their needs (and not pitching your product) and making them work together, you may gain their likes to then network further and deepen relationships during breaks and time off.

SPEED-DATING are 2 ’60 minute’ Sessions (one per day) where you seat at a ROUNDTABLE, pitch the solution you offer to your clients (PMS-Hosts) in 60″, then each Table Participant asks you one question, so you can interact with everyone for 9 further minutes. Each Table has up to 10 attendees for 10 minutes, so you speak to multiple prospects.
At minute 10 we ring a bell, you stay at your table, attendees change tables, so you get 9 new prospects, and the process repeats.
This is done 5 times in 60 Minutes, so you have the opportunity to interact with up to “x times” 45 interested attendees (per your company representative, depending on the Sponsorship tier chosen) who picked your table and company to know more, then you can continue the conversation at the booth during VRWS.
